Environmental Policy
1. Policy Statement
Haptap Limited is a UK-based cloud SaaS company providing Microsoft Teams Phone management services to telecoms operators, managed service providers, and enterprise channel partners. Our operations are primarily digital and hosted entirely on Microsoft Azure, which means our direct environmental footprint is substantially lower than organisations with physical product manufacturing or large on-premise infrastructure.
We recognise, however, that all business activity has an environmental impact and that we have a responsibility to understand, minimise, and continually improve upon ours. This policy sets out our commitment to operating in an environmentally responsible manner and to embedding sustainability considerations into our business decisions.
2. Scope
This policy applies to all employees, contractors, and directors of Haptap Limited, and to all business activities carried out by or on behalf of the company, including:
• Day-to-day office and remote working operations
• Procurement of goods and services
• Business travel and logistics
• Technology and infrastructure choices
• Supplier and partner relationships
3. Our Commitments
3.1 Carbon and Energy
Our core infrastructure runs on Microsoft Azure, which operates with a commitment to being carbon-negative by 2030 and to matching 100% of electricity consumption with renewable energy. By building and operating our platform on Azure, we align our hosting footprint with these commitments by default.
We will:
• Operate as a remote-first business, reducing commuting and office energy consumption
• Prioritise cloud-native architecture to minimise unnecessary compute and storage usage
• Select Azure regions with strong renewable energy credentials where technically and commercially viable
• Monitor and seek to reduce energy consumption associated with development, testing, and staging environments
3.2 Business Travel
We will:
• Default to video conferencing for meetings wherever practicable, using tools already embedded in our Microsoft 365 environment
• Evaluate the necessity of in-person travel before booking, giving preference to lower-carbon travel options such as rail over air for UK and near-European journeys
• Offset unavoidable business travel emissions through a recognised carbon offset scheme, reviewed annually
3.3 Procurement and Supply Chain
We will:
• Give preference to suppliers and partners who can demonstrate environmental responsibility and, where relevant, published environmental or sustainability policies
• Avoid unnecessary procurement of physical goods, favouring digital and cloud-based tools
• Where hardware is required (such as employee devices), prioritise longevity, repairability, and responsible disposal or recycling at end of life
3.4 Waste and Paper
As a predominantly remote and paperless operation, our physical waste footprint is minimal. We will:
• Operate paperless by default across all internal and customer-facing processes
• Dispose of any electronic waste (e-waste) in accordance with the UK Waste Electrical and Electronic Equipment (WEEE) Regulations
• Encourage employees to recycle at their home working locations
3.5 Compliance
Haptap Limited will comply with all applicable UK environmental legislation, including but not limited to:
• The Environment Act 2021
• The Climate Change Act 2008 and associated carbon budgets
• The WEEE Regulations 2013
• Any sector-specific obligations relevant to cloud and technology services
We will monitor changes to applicable legislation and update this policy and our practices accordingly.
4. Roles and Responsibilities
The CEO has overall accountability for this policy. Day-to-day responsibility for environmental matters sits with the leadership team, who are expected to apply the principles of this policy in all business decisions.
All employees and contractors are expected to:
• Understand and support the commitments set out in this policy
• Raise any environmental concerns or improvement ideas with the leadership team
• Take personal responsibility for minimising their environmental impact when acting on behalf of the company
5. Review and Improvement
This policy will be reviewed annually by the leadership team or sooner if there is a material change to the company's operations, size, or applicable legislation. We will track our progress against the commitments set out in this policy and aim to set measurable targets as the company grows.
